This Privacy Policy describes how At Home Pediatric Medicine Concierge (“we,” “us,” or “our”) collects, uses, and protects information when you visit this website. By using the website, you agree to the practices described here.
A note about medical information: this website is not the place to share medical information, and we ask that you not submit symptoms, diagnoses, or other health details through it. Health information you share with us as a patient — during visits, by phone, or through our secure intake system — is protected health information governed by applicable law, including HIPAA, and is handled separately from this website policy.
Information We Collect
Information you choose to give us. If you use the chat assistant to request a callback, you may choose to provide your name, phone number, and email address so our team can reach you. That is the only personal information this website asks you for. Appointment requests and intake forms are handled by IntakeQ, a secure third-party practice-management service, under its own privacy policy (see “Third-Party Services” below).
Chat conversations. Messages you type to our chat assistant are sent to our server so the assistant can respond, and are processed by Anthropic’s Claude AI service to generate replies. Conversations may be logged for a limited period so we can review quality, improve answers, and follow up on callback requests. Please do not include medical details in chat — the assistant will direct clinical questions to our phone line.
Technical information. Like nearly all websites, our hosting infrastructure (Cloudflare) processes standard technical data such as your IP address, browser type, and pages requested in order to serve the site, maintain security, and prevent abuse (for example, rate-limiting automated traffic). We do not run advertising trackers, and we do not use analytics services that build profiles of you.
How We Use Information
We use the information described above only to:
- Operate, secure, and improve this website and its chat assistant.
- Respond to your questions and callback requests.
- Schedule appointments and manage intake (through IntakeQ).
- Comply with legal obligations.
We do not sell personal information, and we do not share it with third parties for their marketing purposes.
Third-Party Services
We rely on a small number of service providers to run this website. Each has access only to what it needs to do its job:
- IntakeQ — appointment requests and patient intake forms. Information you enter in IntakeQ forms is governed by IntakeQ’s privacy policy and business terms.
- Cloudflare — website hosting, security, and delivery.
- Anthropic — AI processing for the chat assistant’s replies.
- YouTube — our introduction video is embedded from YouTube; Google may set cookies or collect viewing data if you play it. See Google’s privacy policy for details.
Our website may also contain links to other websites we do not operate. We encourage you to review the privacy policy of every site you visit.
Data Retention
We keep personal information only as long as needed for the purposes above. Chat transcripts and callback requests are retained for a limited period (generally no more than 30 days for transcripts) unless we need them longer to complete your request or meet a legal obligation.
Security
We use commercially reasonable safeguards — including encrypted connections (HTTPS) throughout the site — to protect your information. No method of transmission or storage over the Internet is 100% secure, so we cannot guarantee absolute security.
Children’s Privacy
This website is intended for parents and guardians, not for children. We do not knowingly collect personal information online from children under 13. If you believe a child has provided us personal information through this website, please contact us and we will delete it.
Your Rights and Choices
You may contact us at any time to ask what personal information we hold about you from this website, to correct it, or to request that we delete it. We will honor verified requests promptly, subject to any legal record-keeping obligations. Depending on where you live, you may have additional rights under state privacy laws; we apply the same practice — access, correction, and deletion on request — to all visitors.
